Responsible AI Policy
1. Purpose
This Responsible AI Policy explains how The Progress Collective develops and operates AI-enabled features and the safeguards and expectations that apply to AI-generated outputs.
2. Scope
This policy applies to all AI-enabled features in the Services, including generation of process maps, documents, training artefacts, and related governance outputs.
3. Core Commitments
- Human oversight: AI supports decisions; people remain responsible for decisions and approvals.
- Safety and harm prevention: AI outputs must not be used in ways likely to cause harm if incorrect.
- Transparency: we aim to clearly indicate when content is AI-assisted.
- Data protection: we minimise exposure of personal and sensitive data.
- Quality improvement: we continuously improve prompts, controls, and user guidance.
4. Limitations of AI
AI-generated outputs are probabilistic and may be incomplete, inaccurate, or unsuitable for your specific context. Outputs may reflect patterns rather than verified facts.
5. Required Human Review
Users must review and validate AI-generated outputs before use, particularly where outputs relate to operational, safety, regulatory, engineering, quality, or compliance matters.
6. Prohibited and High-Risk Uses
You must not use AI-generated outputs:
- as the sole basis for safety-critical or compliance-critical decisions
- to provide legal, engineering, medical, or financial advice without independent professional review
- to generate or distribute unlawful, misleading, or harmful content
- to process or disclose sensitive or regulated information without authority
7. Bias and Fairness
AI outputs can reflect bias present in training data or user inputs. Users should evaluate outputs for appropriateness and potential bias, especially where outputs may affect people, roles, or decisions.
8. Data Minimisation Guidance
Users should avoid submitting unnecessary sensitive personal information to AI features. Where possible, use anonymised or de-identified data.
9. AI Providers
AI functionality may be provided by third-party AI technology providers. These providers process inputs to produce requested outputs for the Services.
The Progress Collective does not use customer content to train public AI models unless explicitly disclosed.
10. Reporting Issues
If you identify unsafe, harmful, or incorrect AI outputs, please report them so we can improve controls:
